Accommodation

Question: If I book the accommodation, how much more is it for the lectures and other activities?
Answer: When you book the accommodation, the price includes full board meals and all the lectures and activities over the weekend. If you wish to put your children (4yrs – 16yrs old) in the Children or Youth Programme, there is a £25 surcharge per child, which must be booked when booking your room(s).

Question: How many beds are there in the hotel rooms?
Answer: There is either a 1 double bed or 2  single beds in each room. Additional people will need to bring sleeping bags or other sleeping material to sleep on the floor of the hotel rooms. We recommend you bring your own, travel cots.

Question: My family is much larger than the 2 adults and 2 children and I cannot get  different rooms for my young children, what shall I do?
Answer: Please contact our Sales department and they will help you as much as they can to make it practical for your family, insha’Allah. Use the Contact form or call us on 020 3743 8484.

Question: Will we get towels and other toiletries with our rooms?
Answer: The Hotel rooms will be fully serviced and have towels and bedsheets which will be replaced daily if required.

Question: Do the rooms have kettles?
Answer: All Hotel rooms have kettles.

Question: I don’t understand, when I book a room for my family in the Halls of Residence, I get 1 room?
Answer: 1 Adult and 1 Children to occupy 1 room. If the family wishes to take additional rooms, they may do so by splitting up the occupants when making their booking.

Question: How many beds are there in the Halls of Residence rooms?
Answer: There is only one single bed in each of the rooms. A family would be expected to bring sleeping bags and other sleeping aids in order to accommodate additional members on the floors of the rooms.

Question: How many people share the bathrooms in the Non-Ensuite Halls of Residence?
Answer: For approximately every 5 rooms there is a block of toilets and bathrooms for use by occupants.

Question: Will we get towels and other toiletries with out rooms?
Answer: The Halls of residence options will not provide these towels or new bed sheets and you would be required to bring your own. These rooms are not serviced through the weekend.

Question: Do the rooms have fridges and kettles?
Answer: The Halls of residence have communal kitchens which includes a fridge and kettle, you will also have access to Microwaves as well.

Bookings, Payments and Cancellations

 

Question: Can I reserve my room or my child on the youth programme and pay later?
Answer: No, all bookings are on a first come and first served basis and there are no cancellations of reservations.

Question: I cannot pay it all at once, can I pay some now and some later?
Answer: We have always had a policy never to close doors to those who are unable to afford our courses. We can arrange a payment plan for those who need it and get discounts sponsored insha’Allah. But these are all assessed and you would need to contact us by email to begin the assessment process, registration@familyconference.co.uk. Please remember we too are a charity and rely upon donations, but we assure you we will try our utmost to help you, insha’Allah.

Question: I did not book my child on the Youth Programme when I booked my rooms, how do I add him or her onto the programme?
Answer: If there are places available and your child meets the minimum requirements for joining the programme. Then just reply to your booking confirmation email, registration@familyconference.co.uk , and they will send you a link to add your children onto the system and make the additional payment, insha’Allah.

Question: I need to cancel my room as I am unable to come now, what shall I do?
Answer:

  • 90% of full fee is payable if cancelled within 4 weeks prior to the date of the event
  • 70% of the full fee is payable if cancelled between 5 – 6 weeks prior to the date of the event
  • 50% of the full fee is payable if cancelled between 7 – 8 weeks prior to the date of the event
  • There will be a charge of £149.00 per room for any cancellations made more than 9 weeks prior to the date of the event
  • Any amendments made to a booking that results in a reduction of rooms will incur a charge of £149.00 per room.

Alternatively, you may sell your room to a family or friend. After you have sold it, please inform us of the changed details via email and we will confirm the change for you. The last name changes permitted are 72 hours before the event begins at 2pm on Friday 22nd December. We generally have a high demand for our places and do not believe you will find it hard to sell your rooms insha’Allah, in the event you need to cancel.

Children & Youth Programme

Question: What age groups and programmes will be available on the weekend?
Answer: Please see our Youth and Kid’s Programme pages for more details on age groups. Closer to the event we will provide even more details on these pages with daily itineraries, insha’Allah.

Question: If I have not registered for the programmes, can my child join on the day?
Answer: No, pre-registration is a must, so don’t delay.

Question: Are the programmes segregated?
Answer: Yes, the programmes are fully segregated above the age of 10 years old.

Question: My child is just under 4 years old and is really independent, can he please join the youth programme?
Answer: We apologise but the team organising the children’s weekend of activities have explicitly said they will not be able to cater for children under 4 years old. We do not recommend very young children being away from their parents for such long periods as we believe it is not good for their emotional development.

Question: I don’t want my child doing a specific activity
Answer: We respect individual choice, but this may mean that you would have to collect your child for that period.

Question: What happens at lunch time, do our children get lunch on the programme?
Answer: Parents are expected to collect their children and take them for lunch. Unless we have made a specific arrangement for some of the older children, parents must collect their children. Children who are not collected will not be allowed to continue on the programme the following day.

Question: What if you need to contact us in emergencies?
Answer: We will be taking all parents mobile numbers in the event of an emergency. Children who cry for long periods and need their parents will be asked to join their parents outside of the youth programme. Parents who do not pick their children up will not be allowed to bring them the following day to the programme.

Question: Do I need to bring any special clothing?
Answer: Closer to the event, our Youth Team will be in contact with you to give you more exact details. But we expect you to bring a spare change of clothes, warm outdoor clothes and shoes as well as for some of the kids, their swimming wears.

Day Visitors

Question: Can I get my own accommodation?
Answer: You may do so especially if you live near the venue But please note, you will find that staying in the Event accommodation is not only more convenient but give you the full experience of the event!

Question: Will I get full board meals throughout my stay?
Answer: Day Visitors will only be provided with Lunch and Dinner on the days they have booked.

Question: I cannot book Friday or Monday, are there no lectures on those days?
Answer: Yes, there are lectures every day starting on Friday and ending at Midday on Monday. If you book Saturday and Sunday, then Monday and Friday are free of charge to attend. (But, meals are not provided on Friday and Monday)

Question: Can my children attend the Youth Programme on the weekend?
Answer: Yes, they can attend as long as you pre-register them while there are spaces left. There is a £25 charge per child above 4 years old till 16yrs old. Under 4s are not permitted on the programme but there is a play area for Mother’s and Toddlers. The youth programme will begin at 9am on Saturday and you would be expected to come early to finalise their registration for the weekend.

Transport, Parking & How to get here

Question: What are the exact location details of the event?

Question: Is there Parking at the venue?
Answer: Yes, there are 220 parking spaces available and there will be extra parking made available for the weekend in allocated areas. Please follow directions by our stewards when arriving for the conference. Please note, as it will be a bank holiday weekend and parking is allowed on the main roads as well, although we ask you to respect the locals and park appropriately.

Question: Will you be providing Coaches to and from the venue from various cities in the UK?
Answer: At the moment we do not have any plans to do so as most people are planning to make their own way to the venue.

Question: How do I come by Car?
Answer: Leave the M1 motorway at junction 25 and follow the A52 signposted to Nottingham. After approximately 4.4 miles turn right at the roundabout (Toby Carvery) onto the A6464 Woodside Road. Turn left at the next roundabout to enter the University of Nottingham’s West Entrance. The East Midlands Conference Centre is situated on Beeston Road, which is the main loop road through the campus.

Question: How do I come by rail?
Answer: The nearest stations to the EMCC are Beeston Station and Nottingham. There are over 30 direct trains that travel between St Pancras and Nottingham on a daily basis.

Question: Can I come by Plane?
Answer: From East Midlands Airport, the EMCC is just 14 miles away via the M1 North leaving at junction 25 and following the A52. There is also the regular Skylink Nottingham bus, leaving directly from the airport directed to Broad Marsh Bus Station. Alight at Beeston, which is the stop for the main University campus, a few minutes walk from the entrance to the East Midlands Conference Centre.

Stalls & Sponsorship

Question: How do I book a stall?
Answer: Email us at stalls@familyevents.org.uk or contact us through the contact us form.

Question: Is there a discount if I register for more then 1 stall?
Answer: Yes, If you purchase more than 1 stall we will apply a £50 discount (additional £50 discount for each additional stall).

Question: Is accommodation including in the price of my stall?
Answer: No, you will have to register online at www.familyconference.co.uk and book a room. The price of the room is inclusive of all meals and lectures.

Question: Do I have to pack away my merchandise every night? Can we leave stock on display over night?
Answer: We recommend that you put a cover over all your merchandise and ensure that it is secure. Alhamdulillah there has never been a case of theft in our stall areas over night.

Question: Can I leave my stall unattended in order to go and listen to the lectures?
Answer: Yes, however Family Events is not liable to any damage or theft that may occur.

Question: Will there be other stalls selling similar merchandise?
Answer: We always ensure that there is a wide variety of merchandise on sale however due to the nature of the event and the amount of stalls available it become inevitable that there may be 2 or 3 stalls selling similar merchandise. In this case we ensure that they are not positioned side by side.

Question: Who do I speak to if I have a query or complaint regarding the stall area?
Answer: If there are any complaint or suggestions that need to be made please approach one of the stalls team who will make themselves known at the start of the day.
